This policy covers the Kevin Egan Coaching website, the client workspace, and the Sam iPhone app. It explains what information is held, why, and what you can do about it.

Who is responsible

Kevin Egan Coaching is the controller of your personal information. If you have any question about this policy or your data, get in touch through the contact page.

What we process

  • Account details — your name, email, phone number and business details.
  • Coaching notes and session records created during our work together.
  • Documents and action plans you upload or that are prepared for you.
  • Kanban and task activity — cards, statuses, comments and dates.
  • Messages or recordings you submit, including anything sent through the rant box.
  • Technical and security data needed to run the service — sign-in events, device and app information, and basic logs.

When you use Sam, your voice interactions may include audio while the session is running, so Sam can hear you and respond.

Why we process it

  • To run the coaching service and your workspace.
  • To keep accounts and content secure and to prevent misuse.
  • To respond to you when you get in touch.
  • To send notifications you have opted into.
  • To meet legal, tax and accounting obligations.

We do not sell personal information, and coaching content is never used for advertising.

Providers we use

A small number of carefully chosen providers help deliver the service: secure cloud authentication and storage, email and notification delivery, Apple sign-in where you choose it, and AI and voice processing for Sam. They process information only to provide these parts of the service on our instructions, and not for their own purposes.

How long we keep it

Your information is kept while your account is active. After that, some records are kept for a reasonable period for continuity of coaching, security, and legal or accounting records. You can ask us to delete information where it is no longer required for those purposes.

Your rights

You can ask us to:

  • Access the information we hold about you.
  • Correct anything inaccurate.
  • Delete information we no longer need to keep.
  • Restrict or object to certain processing.
  • Provide a portable copy where that right applies.

You can control notifications in your account settings, and reach us any time through the contact page. If you are not happy with how we handle your data, you have the right to complain to the Irish Data Protection Commission.

Security

Access is protected by authenticated sign-in, encrypted connections, and access controls so that clients can only see their own content. No system is perfect, but we take sensible steps to keep your information safe.

Children

The service is intended for business owners and is not for anyone under 18.

Changes to this policy

If this policy changes, the updated version will be posted here with a new "last updated" date. Where changes are significant, we will let you know directly.
